Privacy Policy

Seneca for Agencies is an AI chief of staff for talent management agencies. Each manager at an agency connects the Gmail account they use for brand deals. Seneca finds brand partnership conversations in that inbox, attributes them to the talent on the manager's roster, and helps the team triage, reply to, and track them. This policy explains what Seneca collects, how it is used, and the controls you have. It is written to describe what the product actually does.

What we collect

• Your Google account name and email address, provided when you sign in with Google.
• Gmail conversations that Seneca's filters identify as potential brand partnership email. Seneca scans the connected inbox for these and stores only the matching threads. It does not store the rest of the mailbox.
• Recent and upcoming events from your Google Calendar, used to spot scheduling conflicts.
• Information your agency enters in the app: the talent roster, media kits, rates, deal details, pipelines, notes, and any files you upload.
• If you upload a brief or contract (or Seneca finds one attached to a matched email), the file is stored with the deal, processed by Anthropic like other deal text, listed in your data export, and removed when the account or the file is deleted. When a contract arrives on a deal, Seneca also compares it against that deal's email thread and shows you where the terms differ; the comparison is processed by Anthropic like all other AI features and stored with the deal.

How we use it

• To classify incoming partnership email, attribute each thread to the right talent, and summarize what it needs from you.
• To prepare reply drafts in the connected manager's writing style. Drafts are only ever sent when a manager explicitly chooses to send them.
• To build each talent's deal pipeline, deliverable schedule, and campaign records from the contents of those threads.

AI analysis is performed with Anthropic's Claude models. Relevant text from stored threads is sent to Anthropic's API for processing. Under Anthropic's commercial terms, API data is not used to train their models.

Visibility inside your agency

Seneca is a team product, and access follows your agency's structure. Each manager sees their own roster and the threads from their own connected inbox. Agency admins can see data across the whole agency, including threads and deals from every manager's connected inbox. Connecting your Gmail account to an agency workspace means the partnership threads Seneca stores from it are visible to your agency's admins.

Google user data

Seneca's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• Seneca requests read access to Gmail and the ability to create drafts. Google's consent screen describes this permission as including sending email because Google does not offer a drafts-only permission. Seneca sends a message only when a manager presses send on it.
• Google user data is used only to provide the features described above, never for advertising, and is never sold.
• Humans at Seneca do not read your Google user data except with your explicit permission for support, or where required for security or legal reasons. Visibility for your agency's admins, described above, is part of providing the product and applies only to the partnership threads Seneca stores.

Storage and security

• Data is encrypted in transit. The database and file storage are hosted in the United States.
• The Google tokens that grant access to your account are encrypted at rest with AES-256-GCM.
• Uploaded files are stored privately and are not publicly accessible.

Who we share with

Only the service providers that run Seneca: Vercel (hosting and file storage), Neon (database), Anthropic (AI processing), and Google (the APIs you connect). Seneca does not sell your data and does not share it with advertisers.

Your controls

• Export: download a complete copy of your data as JSON from Settings.
• Delete: deleting your account in Settings permanently removes your data, including stored threads, deals, files, and tokens.
• Disconnect: you can disconnect Google in Settings, which also revokes Seneca's access on Google's side, or revoke access at any time from your Google Account permissions.

Retention

Your data is kept while your account exists and deleted when you delete your account. During the private beta, Google access expires roughly every seven days and you will be asked to reconnect.
